While each claim presents unique elements, whether involving property, auto, liability, cargo, or investigative services, the foundational process remains more or less consistent across all assignments.

Claim Intake and File Setup

Once a claim is assigned, it is formally received and entered into our system. Initial assignment details generally include loss information, involved parties, contact data, scope of work, policy references when applicable, and any carrier-specific handling instructions. The claim file is created and prepared for immediate action.

Acknowledgment to Carrier Within 24 Hours

We promptly confirm receipt of the assignment with the claims examiner. This acknowledgment includes identification of the assigned adjuster and a clear outline of anticipated next steps and contact timelines.

Initial Outreach Within 24–48 Hours

The assigned adjuster initiates contact with all applicable parties, which may include insureds, claimants, witnesses, legal representatives, and relevant authorities. This initial outreach establishes rapport, verifies loss details, schedules inspections or interviews, and identifies any outstanding documentation. Early communication helps set expectations and supports efficient claim progression.

Comprehensive Investigation

The investigation phase represents the core of the adjusting process. Depending on claim type, this may involve recorded statements, site inspections, vehicle or property evaluations, scene documentation, drone imaging, or 3D modeling when appropriate. Supporting materials such as photographs, police or incident reports, medical records, repair estimates, receipts, proof of ownership, and weather data are collected and reviewed. Findings are evaluated in relation to policy terms, coverage limits, exclusions, and deductibles. Throughout this phase, ongoing updates are provided to the examiner, with immediate communication for time-sensitive matters.

Ongoing Reporting and Documentation

Professional claims handling requires clear and consistent reporting. Early reports highlight preliminary observations and potential concerns. Status updates track progress and identify outstanding items. Final reports present a complete factual summary, including timelines, statements, supporting evidence, damage assessments when applicable, and objective conclusions. All reports undergo internal review for accuracy, technical compliance, and clarity prior to submission.

File Completion and Closeout

After the final report is delivered, the adjuster confirms all carrier requirements have been satisfied. System updates are finalized, follow-up items are addressed, and the file is formally closed. Our team remains accessible should additional clarification or documentation be needed.

Supplemental Assignments and Reopened Claims

Claims may be reopened due to litigation activity, newly discovered information, supplemental damages, or reinspection requests. When this occurs, we resume handling based on carrier direction and continue the investigation as required.
